1. Scope

This Privacy Policy applies to the Nexxoramarketing website, the cloud-based campus management platform, and related services we provide to educational institutions. It covers administrators, faculty, staff, students, applicants, and parents or guardians who interact with a school's Nexxora portal.

Each school or campus is a separate customer ("Customer"). In most cases, the Customer determines what student and institutional data is entered into Nexxora and is responsible for providing appropriate notice to its community, including under FERPA and other applicable laws.

2. Information we collect

Depending on how your institution uses Nexxora, we may process the following categories of data:

  • Account & contact information — names, work or school email addresses, phone numbers, job titles, and login credentials for authorized users.
  • Institutional data — school name, campus locations, program details, branding, billing contacts, and configuration settings.
  • Student & academic records — enrollment, attendance, grades, transcripts, clinical placements, documents, and communications managed by the Customer within the platform.
  • Financial information — tuition balances, payment plans, and billing records processed on behalf of the Customer. Payment card data is handled by integrated payment processors, not stored directly by us.
  • Usage & technical data — IP address, browser type, device information, audit logs, and product usage metrics used to secure the service and improve reliability.
  • Support & communications — messages you send to our team, demo requests, and feedback submitted through forms on this website.

3. How we use information

We use collected information to:

  • Provide, operate, and maintain the Nexxora SaaS platform for your campus or school.
  • Authenticate users, enforce role-based permissions, and maintain audit trails.
  • Process subscriptions, send service-related notices, and respond to support requests.
  • Monitor performance, detect fraud or abuse, and protect the security of our infrastructure.
  • Develop features and analytics that help institutions manage admissions, academics, finance, and communications.
  • Comply with legal obligations and enforce our agreements with Customers.

We do not sell personal information. We do not use student education records for advertising or unrelated commercial purposes.

4. Student data & FERPA

When a school uses Nexxora to manage student information, we act as a service provider to that institution. The Customer retains ownership and control of student education records and is responsible for obtaining necessary consents and providing required disclosures under the Family Educational Rights and Privacy Act (FERPA) and comparable state laws.

We access and process student data only as instructed by the Customer, to deliver the contracted services, for security and operational purposes, or as required by law. Our agreements with Customers include data protection commitments appropriate for educational SaaS.

5. Cookies & website analytics

Our marketing site uses cookies and similar technologies for essential functionality, preferences, and — with your consent — analytics that help us understand how visitors use the site. You can manage cookie preferences through the consent banner on this website or through your browser settings.

6. How we share information

We may share information in limited circumstances:

  • With the Customer— data entered into a school's tenant is available to that institution's authorized users according to configured roles.
  • Service providers — trusted subprocessors that host infrastructure, send email/SMS, process payments, or provide monitoring, bound by confidentiality and data protection obligations.
  • Legal requirements — when required by law, regulation, court order, or to protect the rights, safety, and security of users and our services.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, with notice to Customers where required.

7. Data retention

We retain Customer data for as long as the subscription is active and as needed to provide the service. After termination, data is deleted or returned according to the Customer agreement and applicable law. Backup copies may persist for a limited period before being overwritten.

8. Security

We implement administrative, technical, and organizational measures designed to protect institutional and student data. Details are described on our Security page.

9. Your rights & choices

If you are a student, parent, or employee of a school using Nexxora, contact your institution first to access, correct, or delete records it maintains in the platform. Institutions can configure roles and respond to FERPA-related requests directly.

Website visitors and account holders may contact us to request access to personal information we hold about them, subject to verification and applicable law. Residents of certain jurisdictions may have additional privacy rights under local regulations.

10. International transfers

Nexxora is hosted on cloud infrastructure that may process data in the United States and other regions. Where required, we use appropriate safeguards for cross-border data transfers consistent with our agreements with Customers.

11. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with an updated effective date. Continued use of the platform after changes take effect constitutes acceptance where permitted by law.
